MANAGING A WORKPLACE INCIDENT

Successful injury/incident management includes several components, but the most important may be communication. This recommended Grab N Go Kit includes several documents that can guide you in communicating with medical providers, employees and claims' examiners.

The basic components of this kit include:

Reporting: The employee or a supervisor should complete a First Report of Injury Form as soon as an injury occurs. The supervisor should forward the form to the RTW Specialist immediately. This report is required by law. Download one here.

Work Capacity Analysis: When an injury occurs, a Work Capacity Form should be sent with the injured employee to the initial medical appointment for the medical provider to complete. This form will outline the physical activities the employee is able to do. The completed form should be returned to the supervisor or employer immediately following the appointment. Consistent Communication: The RTW Specialist or supervisor should accompany the injured employee to the initial doctor visit. Tell the doctor about your RTW policy and keep the lines of communication open during recovery. Download a Sample Letter for Communicating with Physicians.

Transitional Jobs: One common way to ensure timely return to work is to offer a physician-approved transitional job. When offering transitional jobs, be sure your letter carefully defines the physical requirements of the job, includes specific goals and progress reviews, and limits the time period (generally fewer than 90 days). Incident Investigation: Since the best way to manage injuries is to prevent them, be sure you investigate the cause of any incident, whether it results in time off work or not.
